Notice on the Processing of Personal Data via Video Surveillance System
1. Data ControllerThe Data Controller is the “PUBLIC CENTRAL HISTORICAL LIBRARY OF CORFU”, located at Corfu, English Barracks – Old Fortress, ZIP 49100, Tel. +30 26610-38583.
2. Data Protection OfficerThe Public Central Historical Library of Corfu, fully compliant with personal data protection legislation, has appointed a Data Protection Officer. Contact details: Tel. +30 26610-38583, Email: plicorfu@gmail.com.
3. Purpose of Processing and Legal BasisThe purpose of processing personal data is the safety of persons and property within the premises of the Public Central Historical Library of Corfu. The processing is necessary for the intended purpose. The legal basis is the legitimate interest of the Library (Article 6(1)(f) GDPR).
4. Legitimate Interests AssessmentOur legitimate interest is to protect the Library premises and property from unlawful acts, such as theft. This also covers the safety of life, physical integrity, health, and property of our staff and third parties lawfully present in the monitored area. This obligation is also in accordance with Article 42 of Law 3850/2012, as amended. We collect only image data and limit recording to areas assessed as higher-risk for unlawful acts (e.g., bookshelves, entrances), in compliance with legal requirements, guidance from competent authorities, and with respect for the privacy of individuals captured on camera.
5. RecipientsAccess to the recorded material is limited to: a) authorized personnel responsible for site security, and b) external service providers, e.g., the company maintaining and supporting the video surveillance system, who process data on our behalf under a contractual agreement ensuring data protection and security. Data may also be shared with third parties in the following cases:
- With judicial, prosecutorial, or police authorities when necessary for investigating a criminal act (e.g., theft) occurring on the premises.
- With competent authorities requesting data lawfully in the course of their duties.
- With the victim or perpetrator of a criminal act, when the data may serve as evidence.
Data are retained for fifteen (15) working days, after which they are automatically deleted. If an incident is identified during this period, a portion of the video is isolated and retained for up to one (1) additional month for investigation and potential legal proceedings to protect our legitimate interests. If the incident concerns a third party, the footage may be retained for up to three (3) additional months.
7. Data Subject RightsData subjects have the following rights:
- Right to information and access: You have the right to know if your image is being processed and, if so, to receive a copy.
- Right to restriction: You may request to restrict processing, e.g., to prevent deletion of data necessary for asserting, exercising, or defending legal claims.
- Right to object: You may object to the processing.
- Right to erasure: You may request deletion of your data.
These rights can be exercised by emailing plicorfu@gmail.com, sending a letter to our postal address, or submitting the request in person at the Library. To process a request regarding your image, please specify approximately when you were within the camera’s view and provide an image to help identify your data while masking other individuals.
Please note that exercising a right does not guarantee fulfillment in every case. Requests are evaluated and honored if legally compliant under existing data protection laws. In all cases, a detailed response will be provided promptly within GDPR timelines.
8. Right to Lodge a ComplaintIf you believe the processing of your data violates Regulation (EU) 2016/679, you have the right to lodge a complaint with a supervisory authority.
